How to Organize ICBC Claim Documents Without Losing Important Details

A folder system for correspondence, treatment notes, expenses, vehicle records, and personal timelines.

Use five simple sections

A practical file can be divided into accident records, medical and treatment information, vehicle damage, expenses, and correspondence. These broad categories are usually enough to keep the claim understandable without creating dozens of tiny folders.

Name digital files clearly

File names such as “2026-09-02 repair-estimate” or “2026-09-04 clinic-visit” are easier to scan than default phone names. Dates also help you build a chronology later.

Track what is still missing

Keep a short list of records you expect but do not yet have. That might include an estimate, a receipt, a report, or a follow-up appointment summary. A missing-record list prevents the same question from being rediscovered repeatedly.

Separate documents from conclusions

Keep the raw records intact and place your own observations in a separate note. This makes it easier for another person to review the original information without confusing it with later commentary.
